Terms & Conditions

Rates

All rates are in US dollars (USD) and include all taxes applicable as of September 15, 2023. Rates are based on current market value and exchange rates at the time of preparation of these travel programs and are subject to change with or without prior notification. All rates are30 confirmed after full payment. 


Reservations

All travel arrangements and reservations should be made no later than 60 days prior to departure. Later bookings must be approved in advance. The minimum booking value is $ 500 per person or $ 1,000 Per Booking. All departures are guaranteed after written confirmation from Key Tours International Inc. 


Deposit and Final Payment

1- At the time of booking deposit amount will be greater of $ 500 per person or 20% of the land services.

2- 100% of the airfare cost is payable at the time of booking, which is non-refundable. (Airfare change fees and refund conditions apply as per individual airline)

3- 100% of the cost of any other non-refundable services, Such as Hotels, land services, etc for which a reservation must be held is payable at the time of booking. 

4- The amounts paid at booking will be credited to your final payment which is due 60 days prior to departure. If the balance is not received 35 days before departure, the land portion of your booking is canceled automatically. Bookings made within 60 days of departure must be paid in full at the time of booking.

5- Credit cards will be accepted only for payments of $500 or more. Participants waive any charge-back rights to the maximum extent allowed under the law and in the event of a dispute, requests for a refund must be made using the procedures described herein.


Travel Documents
Travel documents will be sent to you approximately 21 days before your departure.  Late bookings and travel revisions can affect this timeline. 

E-documents are free of charge. A hard copy of the travel documents is not produced.



Cancellations

Notice of cancellation must be made in writing directly to Key Tours International Inc. (Info@keytours.com) If cancellation is made more than 60 days prior to departure,  A cancellation fee will be charged for land services, either $250 per person or 20% of the land services fee, whichever amount is greater with respect to charges that are not expressly labeled as non-refundable in these terms and conditions (the “Refundable Charges".)


The following scale of charges will apply with respect to Refundable Charges when notice of cancellation is received 60 days or less prior to departure,

In the event that any airfare or cruise or land services are canceled by the vendor due to causes beyond the reasonable control of Key Tours, including, without limitation, cancellations resulting from the pandemic, acts of God, war, civil disturbances, travel restrictions, or terrorist acts (“Force Majeure Events”), Key Tours will provide a travel credit voucher or vouchers for future travel in an amount equal to all sums actually paid at the time of cancellation. Notwithstanding the foregoing, to the extent any Refundable Charges have been paid to the vendor and have not been reimbursed to Key Tours by the vendor, Key Tours shall not be obligated to provide any refunds or vouchers unless and until such time as the vendor has reimbursed Key Tours. 

In the event that a previously canceled booking for which a travel voucher was issued is rescheduled and then canceled again due to Force Majeure Events, the original credit voucher terms (minus any applicable penalties from suppliers or airlines) will be reinstated.

The cost of all Travel protection plans, (including part of the promotion) airfare, and airport taxes are non-refundable. 

During a Pandemic or lockdown/entry restriction of destinations, for canceled services, Travel Credit Vouchers will be supplied. Airlines refund and credit voucher terms will be applied.


Cruise Cancellations
Notice of cancellation must be made in writing directly to Key Tours International Inc.

A cancellation fee will be charged for land services, either $500 per person or 20% of the cruise services fee whichever amount is greaterAdditionally, the following scale of charges will apply when notice occurs of cancellation is received less than 120 days prior to the date of departure.

Villa & Apartment Cancellations
Notice of cancellation must be made in writing directly to Key Tours International Inc. A cancellation fee will be charged for land services, either $500 per person or 20% of the Villa/Apartment services fee whichever amount is greater. Additionally, the following scale of charges will apply when notice of cancellation is received less than 120 days prior to service start.

Tailor-Made Individual Arrangements

Individuals are responsible for all cancellation penalties applying to “land only” tours plus the penalties applicable to the special airfare included in your tour. Please speak with your travel agent for details.

Refunds
All requests for refunds must be made in writing through Key Tours International Inc. Once travel begins, any charges attributable to change requests processed through Key Tours are due and payable immediately at the time of booking. Once travel has begun, no refunds can be made for unused portions of any tour or service. The cost of all airfare and airport taxes is non-refundable after a booking is confirmed with Key Tours.

Revision fees

The following handling fees will be charged for any alteration or revision made to a booking. Changes that affect inventory such as air or hotel spaces may result in cancellation at the discretion of Key Tours International Inc. Ticket change fees and cancellation fees can result and are the responsibility of the traveler.

Other Fees
Name changes will incur a $25 fee if a change occurs prior to the issuance of travel documents; a $175 fee after documents have been issued. Late bookings (within 2 weeks of travel) will incur a $25 per person fee. Document changes required after documents have been shipped will incur a $50 fee.

Responsibility
Key Tours International Inc. of Fairfax, VA, USA is responsible for making arrangements for the tour/travel services offered in the attached programs to include transportation, sightseeing, cruise, and hotel accommodations. The carriers, hotels, cruises and other suppliers providing tour/travel, cruise, air services are independent contractors and are not agents, employees, servants, or joint venturers of Key Tours or its affiliates. Airline alternative equipment and routings are subject to change by the airline and will not result in any refunds. Flight delays and other transportation changes are unfortunate, but are an inherent risk of travel and are therefore outside the control and responsibility of Key Tours International Inc. All certificates and other travel documents for travel services issued by Key Tours International Inc. are subject to the terms and conditions specified by the supplier and to the laws of the countries in which the services are supplied. If the services included in the tour/travel cannot be supplied or if there are changes in an itinerary for reasons beyond the control of Key Tours International Inc., the company will arrange for the provision of comparable services or supply Travel Credit Vouchers as set forth above.

Key Tours International Inc. reserves the right to accept or reject any person as a tour participant, to expel any tour participant from the tour, to make changes in the itinerary or services whenever the company deems it necessary to the comfort, convenience, or safety of the tour participants, and to cancel a tour at any time. If Key Tours International Inc. cancels a tour/travel services, the company has no responsibility beyond the refund of monies paid to the company by the traveler.

Travelers and Tour participants agree that neither Key Tours International Inc. nor its affiliates shall be liable for any damage or loss including personal injury, death, property loss, delays, change in air services, sickness, strike, war, quarantine, pandemic, terrorism, bankruptcy, weather, earthquake or other natural disasters, upset, disappointment, inconvenience, or expense occasioned by any act or omission of any supplier or person providing tour services. Also, Key Tours International Inc. is not responsible for the failure of clients to follow instructions given in travel documents including, but not limited to, check-in and check-out times and baggage handling, and failure to obtain required documentation such as passports, visas, and health certificates where required. In the above cases, travelers will not be entitled to any refund. Only Key Tours International Inc. representatives, who possess written authority to do so, may vary, add or waive any term or condition in this contract, to include terms or conditions set forth in the preceding provisions. Any legal proceedings both on behalf of or against Key Tours International Inc. must be instituted only in a federal or state court located in Virginia, and such claim will be decided using the laws of the Commonwealth of Virginia. Any legal proceeding against the company must commence no later than 6 months after the travel services have been completed or canceled, as the case may be.


Health and other Hazards during Covid-19 pandemic

You agree that it is your personal decision to travel, and you are doing so with full knowledge of current travel recommendations and travel restrictions with regard to the risks of COVID-19. We assume no responsibility for and shall not be liable for unsafe conditions or health hazards including pandemics or other illnesses. We have no special knowledge of dangers during travel or at destinations. For information related to such dangers, we recommend going to the State Department travel website at www.travel.state.gov, clicking on "Find International travel Information” then clicking on "Country Information", and filling in the name of the destination country. For medical and health information, we recommend going to the Centers for Disease Control website at www.cdc.gov/travel, then click on “Destinations” and scroll to the name of the destination country. 

Rules of Airlines, Local Suppliers, and Governments

We have no responsibility for COVID-19-related requirements that travel suppliers and governments may impose from time to time, such as health affidavit forms, health screenings prior to departure or upon arrival, face coverings, or quarantines. Rebooking:

If requested, we will assist with obtaining any refunds due or rebooking trips using future credits.


Insurance (Travel Protection Plan):

For your protection, we strongly recommend that you purchase a trip cancellation and travel protection plan. Please note that, unless you buy a cancel-for-any-reason policy, most policies have a specific clause stating they do not cover epidemics and pandemics, especially when travel warnings are in place. No representation or description of the insurance made by our staff constitutes a binding assurance or promise about the insurance. You agree to hold us harmless for your election not to purchase travel insurance or for any denial of the claim by the travel insurer as it relates to COVID-19 or any other claim under the policy.


Financial Condition of Airlines and Cruise and Hotel suppliers:

We are not responsible for the acts or omissions of travel suppliers such as airlines, cruise lines, hotel providers, or their failure to adhere to their own schedules, provide services or refunds, financial default, or failure to honor future trip credits. We have no special knowledge regarding the financial condition of the suppliers, and we have no liability for recommending a trip credit in lieu of a refund



RELEASE: YOU HEREBY EXPRESSLY ASSUME ALL OF THE RISKS AND DANGERS COVERED IN THE ABOVE PARAGRAPHS, AND YOU HEREBY EXPRESSLY AGREE TO FOREVER RELEASE, DISCHARGE, AND HOLD US, AND OUR AGENTS, EMPLOYEES, OFFICERS, DIRECTORS, ASSOCIATES, AFFILIATED COMPANIES, GUIDES,  GROUP  LEADERS, AND SUBCONTRACTORS HARMLESS AGAINST ANY AND ALL LIABILITY, ACTIONS,  CAUSES  OF  ACTIONS, SUITS, CLAIMS, AND DEMANDS OF ANY AND EVERY KIND AND NATURE WHATSOEVER WHICH YOU NOW HAVE OR WHICH MAY HEREAFTER ARISE OUT OF OR IN CONNECTION WITH THESE RISKS AND DANGERS


Airline Clause
Concerned airlines and their agents and affiliates are not to be held responsible for any act, occurrence, or events during the time passengers are not on board their aircraft. The passenger ticket constitutes the sole contract between the airlines and the purchaser of these tickets and/or passengers. The passenger contracts in use by the airlines or transportation companies when used shall constitute the sole contract between the airline, the transportation company, and passenger or purchaser of tour/travel. The tour operators assume no responsibility for this connection. Transportation within the United States may be provided by any member carrier of ARC.

Passport / Visa / Vaccination 
Travelers will need to maintain a current, valid passport throughout their entire trip when traveling abroad. Please contact your destination country's nearest consulate for updated details on visa and vaccination requirements. Costs of visas and border crossing fees are the traveler’s responsibility.


Smoking
Smoking is not permitted in transportation vehicles operated by Key Tours International Inc. Frequent stops are made so that smoke breaks may be taken outside of the vehicles.

Age Requirements for Tour Participants
Children under the age of 5 and unaccompanied minors under the age of 18 will not be accepted on these tours.

Baggage
Porterage for one suitcase is included in the land tour price. Due to limited Man and coach capacity, the single bag should not exceed the dimensions of 30”x18”x10” and not weigh more than 50lbs (23kg). A charge of $5 per traveling day is collected by the tour director for each additional piece of baggage, or if the suitcase exceeds established weight and/or dimension limitations.
